A phased approach to connecting school administration, finance and academic records around one dependable student journey.
Map the student record across departments
Admissions, finance and academics often maintain separate versions of the same student. Begin by agreeing the core record, unique identifier and ownership of each field. This makes later integration and reporting much more reliable.
Prioritise the highest-friction journeys
Do not digitise every form at once. Choose journeys where errors or delays are most visible, such as admission to enrolment, payment to updated balance or marks entry to approved report card.
- Admissions, class placement and student status
- Invoices, payments, waivers and fee balances
- Subjects, marks, approvals and report cards
- Parent communication and management reporting
Design for the people doing the daily work
A system should reduce the number of steps for teachers, bursars and administrators. Test with representative users and devices, keep common actions easy to find and make incomplete or exceptional records visible.
Roll out in controlled phases
Prepare and validate data before migration, train users on realistic tasks and run a clear support process during the first reporting cycles. A phased rollout creates room to correct assumptions without putting every school operation at risk at once.
